YOUR INFORMATION

Privacy notice.

How Motorsmiths Autohaus handles website enquiries and protects the information you give us.

Who to contact

Motorsmiths Autohaus is the business contact responsible for this website’s enquiry service. Write to Unit 4, 21 Glaisdale Drive East, Nottingham, NG8 4JJ, email serviceandrepair@motorsmithsautohaus.co.uk, or call 07938 839706. Use “Privacy request” in an email subject so we can recognise it promptly.

Information we collect

We collect your name, the email address and/or telephone number you provide, vehicle make and model, selected service and your message. Your postcode and registration are optional. We also record the time, selected business, enquiry reference, privacy notice version and a technical request identifier. A pseudonymous contact identifier helps limit repeated submissions; it is not anonymous data.

We need a name, vehicle, description of the request and at least one way to contact you to handle the online enquiry. If you prefer, you can contact us by phone or email. Please do not send bank/card details, identification documents, health information or other sensitive personal information through the form.

Why we use it and our lawful bases

The enquiry form does not subscribe you to marketing, take payment or confirm a booking. We do not make decisions about you solely by automated processing.

Earlier versions of the form used a consent tickbox. We continue to respect the permission given for those earlier enquiries and any request to withdraw it; this notice does not retrospectively change the basis on which those enquiries were collected.

Where your information goes

The full enquiry is stored in our protected website database, hosted through OpenAI Sites using Cloudflare infrastructure. Access is limited to authorised business accounts. We use your chosen contact details to reply, including through our email or telephone provider where appropriate.

FormSubmit sends us a generic “new enquiry” email alert. New alerts contain no customer name, contact details, postcode, registration, vehicle, enquiry reference or message. Your browser does not forward form information to FormSubmit. The full enquiry is reviewed in the protected inbox.

We do not sell enquiry information. We may disclose information where needed to meet a legal requirement or deal with a legal claim. If you select another business or service on this website, the request is handled for the service you selected.

Service providers and international processing

Our hosting, identity and communication providers may process information outside the UK. OpenAI publishes a ChatGPT Sites Data Processing Addendum for individual plans, and separate applicable terms for business services. The Sites addendum sets out processor obligations and incorporates standard contractual clauses with the UK Addendum for UK hosted data. The relevant agreement governs hosting transfers and subcontractors. Contact us for a copy of the safeguards relevant to your information and for details of any separate communication provider. We do not promise that all information is hosted in the UK.

How long we keep it

Website enquiries normally expire 180 days after receipt. Expired enquiries are hidden from the inbox and are permanently removed from the live database during automatic cleanup when the website is used. An authorised operator can delete an enquiry earlier, or extend it for another 180 days where ongoing work, a complaint/dispute or a legal obligation makes this necessary. Extensions have a recorded reason and must be reviewed.

If work goes ahead, necessary job and accounting records are kept separately for their applicable retention periods. Deleting a website enquiry does not delete a separate invoice, job record, email conversation or provider backup. We review those copies separately; backup copies may remain until the provider’s backup cycle expires and must not be returned to ordinary use without applying the retention rules.

Full enquiry emails sent before 22 October 2026 remain subject to their original arrangements and must be reviewed and removed when no longer needed.

Your rights

Depending on the circumstances, you can ask to access your information, correct it, erase it, restrict its use or receive portable data. You can object to processing based on legitimate interests and withdraw consent where we rely on it. These rights are not absolute; for example, some records may need to be kept to meet a legal duty or deal with a claim.

Contact us using the details above, including your enquiry reference if you have it. We may need proportionate information to verify your identity. We normally respond within one month, subject to the applicable legal rules. You can complain to the Information Commissioner’s Office. You may contact the ICO without first contacting us.

Cookies, maps and sign-in

This website does not add advertising or analytics trackers. Hosting and security providers may use cookies that are necessary to provide and protect the service. The public form does not require a customer account. Authorised operators sign in through ChatGPT; we use the account email and identifier to control access, and keep an access list while those permissions remain necessary.

No Google Map is embedded or loaded automatically. Google Maps opens only when you choose an external map or directions link; Google’s own privacy information and controls then apply.

Photography and updates

Service photography is illustrative imagery generated for the site and does not represent completed customer jobs or manufacturer endorsement. Vehicle listing photographs are supplied by the business. We update this notice when the way we use information changes.
